New Organisations

(Registering your organisation with the Criminal Records Bureau)

If you are an organisation that wishes to use CRB checks as part of your recruitment, licensing or appointment processes there two questions that you must ask yourself:

  • Are you entitled to ask exempted questions under the Rehabilitation of Offenders Act (ROA) 1974 Exceptions Order 1975?
  •  Are you able to comply with the CRB’s Code of Practice?

If the answer to either question is NO then you are either not legally entitled to apply for or use CRB checks and therefore cannot register with the CRB. Organisations can only apply for a CRB check for a particular position if that position is included in the CRB’s Disclosure Access Category List (Eligible Posts) (for more details on the Disclosure Access Category List (Eligible Posts) click here).

If the answer to both questions is YES there is one more question you need to answer:

  • Are your able to meet the CRB’s Conditions of Registration, including minimum applications threshold of 100 applications per year?

If the answer to this questions is NO, then you will need to access the CRB service through one of the CRB’s Umbrella Bodies. An Umbrella Body will:

  • Act as an interface between you and the CRB, so that you can concentrate on your own business
  • Administer, process and acquire the CRB check on your behalf
  • Offer you a great deal of experience in handling and processing CRB checks that can pay dividends in ensuring that the check is completed as quickly as possible
  • Help you comply with certain obligations contained in the CRB’s Code of Practice

If you have answered YES to all these questions call the CRB 0870 90 90 822 to apply to register directly with the CRB and become a Registered Body.

You will be then asked to complete a pre-registration questionnaire. This questionnaire will ask for the following information:

  • The nature of your business;
  • The types of positions to be CRB checked;
  • How you will meet the minimum application threshold;
  • How you and the recipients of your CRB checks intend to meet the CRB's Code of Practice; and 
  • How you intend to meet the Conditions of Registration.

If you are successful at this pre-registration stage you will then be sent a formal Registration Application form to be completed by a senior nominated person in your organisation and pay the £300 registration fee.

The CRB will then carry out a number of checks on both your organisation and the nominated person.

If successful the CRB will confirm the registration and the nominated person can start to use the service and countersign CRB applications. At this stage you can also register additional people to countersign your CRB checks at a charge of £5.00 per registration.
